Dear Hiring Manager,

I am applying for the Operations Executive (Management Trainee) role at Orange City Logistics, which I saw on LinkedIn. I completed my MBA in Operations and Supply Chain at Symbiosis this year, after a B.E. in Mechanical Engineering, and my summer internship was in a cold-chain warehouse in Nagpur.

At Vidarbha Cold Logistics I mapped the dispatch process for three delivery routes, from order release to truck exit. Timing each step on the floor showed two bottlenecks: trucks waited for pallets that were picked in the wrong order, and paperwork was done only after loading. I proposed a loading schedule by route and pre-printed documents, and the pilot cut truck waiting time noticeably in the last two weeks of my internship.

I build reports in Excel and Power BI, and I have a Six Sigma Yellow Belt. I am comfortable on the shop floor and in night shifts.

I can join immediately and relocate to any of your warehouses.

Sincerely,
Kevin Marshall

Dear Hiring Manager,

I would like to apply for the Senior Operations Manager role at Deccan Quick Commerce. For five years I have run e-commerce fulfilment, and I currently manage a Hyderabad fulfilment centre for Cartwheel Commerce that ships about 18,000 orders a day.

I lead four shift leads and a team of 120. When I took over, on-time dispatch was 94%; by changing the wave plan to match courier cut-offs and giving each shift lead a live SLA board, it is now 98.6%. Re-slotting our fastest-moving items closer to the packing stations cut cost per order by ₹3.2, which at our volume is more than ₹20 lakh a year.

Before Cartwheel I was assistant operations manager at Swift Parcel Services, where I ran a sort centre through two festive peaks.

Your plan to open three dark stores this year needs exactly this kind of SLA and cost discipline. My notice period is 60 days.

Sincerely,
Rachel Underwood

Copy either letter, then change every detail to your own: the company, the job title, your numbers. Pair it with a matching operations manager resume. The layout, header and greeting are the same for every job: see how to write a cover letter.

How to open the letter

Name the job, where you saw it and your strongest fact in the first two lines. Two openings that work:

  • I run an 18,000-order-a-day fulfilment centre with a team of 120 and lifted on-time dispatch from 94% to 98.6%; I am applying for your Senior Operations Manager role.
  • As an MBA (Operations) graduate who mapped a cold-chain warehouse's dispatch and found two bottlenecks, I would like to join your Operations Executive programme.

What to write in the body

One or two paragraphs that prove you can do the job the advert describes. For an operations manager, the body should also:

  • Show SLA, cost and quality results with before-and-after numbers.
  • Name your systems (WMS, ERP, SAP) and methods (Lean, Six Sigma).

How to close the letter

Close by connecting your scale and results to their next step (a new site, a peak season, a cost target), and give your notice period and relocation flexibility.

Writing it with no experience

  • Use your MBA internship or live project with a process you mapped and the result.
  • Show Excel, Power BI and ERP skills.
  • Say you are ready for floor roles, shifts and relocation.

Mistakes to avoid

  • No numbers for scale, SLA or cost.
  • Talking only about leadership, not about the operation.
  • Leaving out systems and methods.
