Notice period meaning (India): serving it, buyout, relieving letter and full-and-final

Notice period meaning, and the three things your resignation must get right: the one email that starts the clock, and what to ask for so background checks go smoothly.

Resigning well in India is mostly paperwork done in the right order. Get the order right and the process is dull, which is what you want. This is general guidance; your appointment letter and company policy are what actually apply.

Notice period

The notice period meaning is simple: the time you keep working after you resign. Your appointment letter states it. When the clock starts depends on that letter too: some companies count from the day you send your resignation, others from the day it is accepted, which is why the resignation should be an email, not a conversation. State your last working day explicitly, calculated from the notice period, so there is no dispute later.

Buyout. Many companies allow you to pay for unserved notice, or let the new employer pay it. Ask HR in writing whether it is permitted and how it is calculated. Do not assume it will be allowed, and do not sign an offer that depends on it until you know.

The resignation email

Keep it to four things:

  1. That you are resigning from your position, effective today.
  2. Your last working day, per the notice period.
  3. An offer to complete handover and help train a replacement.
  4. A request for your relieving letter, experience letter and full-and-final settlement on the last day.

A reason is optional. "For a role that is a better fit for the next stage of my career" is enough if you want one. Grievances do not belong in the letter; they belong in the exit interview, if anywhere.

The free Resignation Letter Generator writes this email from your notice period and last working day, with the relieving and full-and-final request included.

Relieving letter and experience letter

The relieving letter confirms you left on a date with no dues. The experience letter confirms your title and dates. Many employers ask for one or both during background verification. Ask for both in the resignation email, and again a week before your last day. Check the dates and title on them before you leave the building.

Full-and-final settlement

The final payout: salary for days worked, leave encashment where policy allows it, bonus or variable pay if due, minus any notice shortfall or asset recovery. Under the Code on Wages, 2019 (in force since 21 November 2025), wages due when you resign must be paid within two working days (section 17(2)); if other parts of the settlement take longer, ask HR in writing for the date. Get a breakdown in writing, and keep your bank account with them until it clears. Your PF stays yours; transfer it to the new employer's account through the EPFO member portal rather than withdrawing it, unless you are leaving the workforce.

The last two weeks

  • Write a handover document nobody asked for. It is the thing people remember you for.
  • Forward nothing to personal email. Take your own documents (payslips, appointment letter, Form 16) before access ends.
  • Return the laptop and ID on the last day and get an acknowledgement.
  • Connect with the people you want to keep, before the corporate account disappears.
