What goes in an email for job application
The recruiter will open dozens of these in a sitting, so the email is a covering note and the resume is the document. Five things belong in it, in this order: a subject line that names the role, a greeting with a name if you can find one, one sentence that says which job and where you saw it, one or two sentences on why you fit, and a closing line with your phone number. The resume is attached, so the email does not retell it. That is the whole format; anything longer is a template nobody finishes reading.
You do not need a long cover letter in the email. If the company asked for one, attach it as a second PDF or paste a shorter version as the body, and follow the guide on how to write a cover letter for the content. If it did not ask, the short body below is enough. Keep to plain text with no photographs, no background colour and no large signature image, since many recruiters read these on a phone.
How to send CV by email: the subject line
The subject line decides whether the email is opened. Name the job and yourself, and put the reference number from the posting first if there is one. Avoid “Resume” or “Job” on their own: a recruiter who posted three jobs cannot tell which one you want.
| Situation | Subject line |
|---|---|
| Reply to a posting | Application for Accounts Executive (Ref AE-114) – Neha Verma |
| No posting, you are asking | Fresher, B.Com 2026 – interested in accounts roles – Neha Verma |
| Referral from someone inside | Referred by Rohan Mehta: Operations Executive – Sameer Khan |
| Experienced, with notice period | Sales Executive, 4 years – 30 days notice – Karan Joshi |
| Follow-up | Following up: Application for Accounts Executive – Neha Verma |
Keep the subject under about 60 characters so that it is not cut off in the inbox, and put your name at the end so that the recruiter finds you later when searching.
Sample email for job application with resume: four bodies
Four common cases follow, each a short body you can adapt, the way to write an email when sending a resume to a recruiter. They are fictional and illustrative: the names, the firms and the numbers are invented, so swap in your own details and the exact job title from the ad. Each is under 90 words.
A fresher applying to an advertised job
Dear Ms. Kapoor,
I am applying for the Accounts Executive role (Ref AE-114) posted on your careers page. I completed my B.Com in 2026 with a final-year project on GST reconciliation for a local retailer, and I am comfortable with Tally and Excel. My resume is attached as a PDF.
I can join immediately and can be reached on +91 98XXXXXX21. Thank you for your time.
Neha Verma
An experienced candidate
Dear Mr. Rao,
I am writing about the Sales Executive position. For four years I have handled a territory of 60 retail accounts at a packaged-foods distributor and grew it by 22% last year. I am based in Pune, my notice period is 30 days, and my resume is attached.
I would be glad to speak this week: +91 98XXXXXX45.
Karan Joshi
A referral
Dear Ms. Iyer,
Rohan Mehta in your logistics team suggested I write to you about the Operations Executive opening. I have two years of dispatch and vendor coordination experience and have reduced delayed deliveries at my current firm from 11% to 6%. My resume is attached.
Thank you for considering it. I am on +91 98XXXXXX72.

A reply to a posting that asks for a particular format
Dear Hiring Manager,
As requested in the advertisement for Content Writer (Ref CW-07), I have attached my resume and two writing samples. I have written for web and print for three years and can start within 15 days.
Please let me know if you need anything else. +91 98XXXXXX33.

If the ad names a subject format, such as “write the job code in the subject”, follow it to the letter; some firms sort applications by that line before a person reads anything. When you have no name for the greeting, use “Dear Hiring Manager” rather than “Sir/Madam”, and see how to address a cover letter for other options.
How to send a resume in an email: the attachment and file name
Attach the resume as a PDF, because a PDF keeps its layout on a phone and in every mail client; send a Word file only if the posting asks for one. Name the file with your name and role, such as Neha-Verma-Accounts-Executive.pdf, not resume final 2 (1).pdf. A recruiter who downloads twenty files wants to know which is yours without opening it.
Keep the file small enough to open on a mobile network, and attach it rather than pasting the resume into the body. If you are writing from a phone, open the attachment from your drive once before sending to be sure it is the right version. A resume built in CVEmber downloads as a PDF you can attach as it is; the India resume format guide covers what the document itself should contain.
One more point on how to email a resume from a work account: do not. Use a personal address, preferably a plain one built from your name, because a mail from an employer account can be read by your current employer.
When to follow up
Wait five to seven working days after sending, then send one short follow-up as a reply on the same thread so the first email stays visible. Say that you applied on the date, that you remain interested, and ask whether they need anything else. If there is still no reply, one more message a week later is the limit; after that, move on.
If the ad gave a closing date, do not follow up before it has passed, since the recruiter has not started reading. If you were referred, also send the person who referred you a one-line note once you have applied, so that they can mention it.
Before you press send
- The subject line names the job and carries the reference number from the posting.
- The greeting has a person's name, or “Dear Hiring Manager” when you could not find one.
- The body is under about 90 words and says what you have done, with one number.
- The PDF is attached, opens, and has your name in the file name.
- Your phone number is in the email, not only on the resume.
- You have read the email aloud once for spelling, especially the company name.
For the other side of the application, the cover letter and the resume are what the recruiter reads next, so make sure both match the role you named in the subject.
