Dear Hiring Manager,

I am applying for the Vice Principal position at Gyanankur English School in Satara. I have nine years of teaching English and have been middle school coordinator for classes 6 to 8 at a CBSE school in Kolhapur for the last five.

As coordinator I lead eighteen teachers and 620 students. Two years ago our class 8 unit-test pass rate was 84% and most failures were in written English. I met each teacher, set up a fortnightly common paper for each subject and a remedial hour twice a week for the thirty weakest students, and reviewed answer scripts with teachers every month. The pass rate reached 92% by the second year. I also built the timetable for classes 6 to 8, which has run without a clash, and observed forty classes a year with written feedback.

I hold an M.Ed and am ready to carry more of the school's academics and discipline. Your school's move to the NEP structure suits what I have been doing in middle school.

I can join in sixty days and would be glad to meet the management for a discussion.

Sincerely,
Karen Mitchell

Dear Hiring Manager,

I would like to apply for the Vice Principal position at St. Anselm's School. I have sixteen years in CBSE schools, and for the last six I have been vice principal at a senior secondary school in Bhopal with 1,400 students and seventy teachers.

Two issues defined my last three years. First, class 12 board results were stuck at 88% pass. I analysed three years of results by subject, found that Chemistry and Accountancy accounted for most failures, and arranged extra practice sessions and paired senior teachers with newer ones for those subjects; the pass average moved to 96%. Second, 9% of students were chronically absent. I set up a rule that parents get a call after the second consecutive absence and a meeting after the fifth, and absenteeism fell to 4%.

I also run three teacher training days each year and a cycle of classroom observations for every teacher.

Your school's growth to a second section needs an experienced person to manage staff and results, and I would welcome the chance. My notice period is ninety days.

Sincerely,
Robert Hayes

Copy either letter, then change every detail to your own: the company, the job title, your numbers. Pair it with a matching assistant principal resume. The layout, header and greeting are the same for every job: see how to write a cover letter.

How to open the letter

Name the job, where you saw it and your strongest fact in the first two lines. Two openings that work:

  • I raised class 12 board pass rates from 88% to 96% and cut absenteeism from 9% to 4% as vice principal for 1,400 students, and I am applying for your Vice Principal role.
  • As middle school coordinator for 620 students and 18 teachers with an English pass rate that rose from 84% to 92%, I would like to apply for your Vice Principal role.

What to write in the body

One or two paragraphs that prove you can do the job the advert describes. For an assistant principal, the body should also:

  • Name student and staff numbers and the board.
  • Say how you work with the principal, teachers and parents.

How to close the letter

Close with your notice period and an offer to present your academic plan or an observation format at an interview. Management committees and principals read these letters for fairness and judgement, so avoid slogans and keep to what you did and what changed.

Writing it with no experience

  • Use coordinator, HOD or exam in-charge work as leadership evidence.
  • Describe a school project you led, such as a timetable, a remedial programme or an event.
  • Say what training you have done for leadership.

Mistakes to avoid

  • Writing a long philosophy of education.
  • No numbers on results or staff.
  • Not naming the board.
