Dear Hiring Manager,
I am applying for the post of Front Office Executive at Sanjeevani Multispeciality Hospital, Jaipur. I completed a diploma in hospital administration this year and did a three-month front office internship at a 150-bed hospital in the city.
At the internship I registered sixty to eighty OPD patients a day in the hospital system, booked appointments for six consultants and issued bills and receipts. I learnt to count and reconcile my cash and UPI collections at the end of each shift, and I never had a difference. I also handed over around forty reports a day, always checking the patient's ID and registration number first, because reports are private.
The busiest hour, between ten and eleven in the morning, taught me most. Families are often worried, and a calm answer and clear directions to the right department make a real difference. I speak Hindi, English and Rajasthani, which helps with patients from nearby villages.
I am available for rotating shifts and can join immediately. I would be grateful for an interview.
Sincerely,
Jessica Alvarez

Dear Hiring Manager,
I would like to apply for the Senior Front Office Executive position at Lotus Women and Child Hospital. I have five years of front desk experience in healthcare, the last two running a three-person reception desk for eight doctors at Carewell Clinics in Hyderabad, where we see about 180 patients a day.
When I took over the desk, walk-ins and booked patients were mixed in one queue and the average wait was about fifty minutes. I worked with the doctors to set fixed slots, moved regular patients to booking by phone and WhatsApp, and kept a small number of walk-in slots each hour. The average wait fell to twenty-five minutes, and complaints about waiting almost stopped.
I also reconcile about ₹1.5 lakh of daily collections across cash, card and UPI, check insurance and TPA details before procedures, and have trained three new receptionists. At my previous dental practice, reminder messages I introduced cut no-shows from eighteen to nine percent.
I speak Telugu, Urdu, Hindi and English. My notice period is fifteen days, and I would welcome the chance to meet.
Sincerely,
Marcus Mercado
Copy either letter, then change every detail to your own: the company, the job title, your numbers. Pair it with a matching medical receptionist resume. The layout, header and greeting are the same for every job: see how to write a cover letter.

How to open the letter
Name the job, where you saw it and your strongest fact in the first two lines. Two openings that work:
- I halved the average waiting time at an eight-doctor clinic seeing 180 patients a day, and I am applying for your Senior Front Office Executive post.
- As a hospital administration diploma holder who registered up to eighty OPD patients a day during my internship, I would like to apply for your Front Office Executive post.
What to write in the body
One or two paragraphs that prove you can do the job the advert describes. For a medical receptionist, the body should also:
- Tell one story about queues, waiting time or no-shows.
- Show accuracy with money and privacy with records.
How to close the letter
Close with your shift availability, notice period, languages and a request for an interview. Hospitals want front desk staff who stay kind on the busiest morning, so end on that.
Writing it with no experience
- Use internship, volunteering or any customer-facing job with numbers.
- Mention billing, typing and computer skills.
- List languages and shift availability.
Mistakes to avoid
- Only saying you are friendly and polite.
- No numbers for patients or money.
- Sharing any patient detail as an example.
How do I write a cover letter for a medical receptionist job?

What should a fresher hospital receptionist write?
Training, internship numbers, billing and computer skills, languages and shift readiness.
Should I mention insurance or TPA work?
Yes. Hospitals value receptionists who can check cover before a procedure.
How long should the letter be?
About 250 words.
