Dear Hiring Manager,

I am applying for the Front Desk Receptionist position at Sarabha Nagar Medical Centre, which I saw on Apna. I completed my B.Com at Panjab University Regional Centre this year, and during college vacations I worked at the reception of a dental clinic.

At SmileCare Dental Clinic in Ludhiana I booked about 25 appointments a day by phone, greeted more than 40 patients and kept the visitor register. Patients often arrived without an appointment at the busiest hour, so I started a simple walk-in list with estimated waiting times; fewer people left angry, and the dentist could plan breaks. I learnt that a calm voice at the desk sets the mood for the whole clinic.

I am comfortable with MS Word, Excel and Google Calendar, type at 35 words a minute and speak Punjabi, Hindi and English.

I can join immediately and I am available for morning and evening shifts.

Sincerely,
Taylor Orlando

Dear Hiring Manager,

I would like to apply for the Senior Receptionist role at Cyber City Towers. I have four years of front-desk experience in corporate offices in Gurugram, and I currently run the reception at Northwind Consulting India.

I handle a six-line phone board with about 120 calls a day and register around 60 visitors a day in a digital visitor system. I also book 25 meeting rooms and cabs for guests. Meetings used to overrun into each other's rooms, so I moved bookings to a shared online sheet with 15-minute buffers, and rooms now run on schedule about 95% of the time.

I manage the courier desk, petty cash for reception and the stationery register, and I am often the first person clients meet, so I dress and speak for that.

I would bring the same calm, organised front desk to your building. My notice period is 30 days, and I can work early or late shifts.

Sincerely,
Rachel Adams

Copy either letter, then change every detail to your own: the company, the job title, your numbers. Pair it with a matching receptionist resume and the skills receptionist job adverts ask for. The layout, header and greeting are the same for every job: see how to write a cover letter.

How to open the letter

Name the job, where you saw it and your strongest fact in the first two lines. Two openings that work:

  • I handle 120 calls and 60 visitors a day at a corporate front desk and keep meeting rooms on schedule 95% of the time; I am applying for your Senior Receptionist role.
  • As a B.Com graduate who booked 25 appointments a day at a dental clinic reception, I would like to apply for your Front Desk Receptionist position.

What to write in the body

One or two paragraphs that prove you can do the job the advert describes. For a receptionist, the body should also:

  • Name the systems you use: phone boards, visitor software, calendars, hotel PMS.
  • Show one improvement that made the front desk run better.

How to close the letter

Close by confirming your shift and weekend availability and your joining date. Receptionists are hired on presence, so a warm, polite and error-free close matters.

Writing it with no experience

  • Use any front-facing work: shops, clinics, events, college help desks.
  • Give numbers for people helped or calls taken.
  • Mention languages, typing speed and computer skills.

Mistakes to avoid

  • Typos or a careless layout.
  • No volumes.
  • Leaving out languages and shift availability.
