Dear Hiring Manager,

I am applying for the Administrative Assistant position at Aravali Legal Associates, which I saw on Naukri. I completed my B.Com at the University of Rajasthan this year, and during a three-month internship I did most of the office work your advert lists.

At Pink City Consultants in Jaipur I filed and indexed about 800 client documents into a system the team still uses, scheduled some 30 meetings a week across four consultants, and drafted more than 50 letters and emails. I also built a simple Excel visitor log that replaced a paper register at reception. When a consultant was travelling, I kept their client meetings moving by rebooking and confirming each one by phone the same day.

I have the NIELIT CCC certificate, type at 45 words a minute in English and know Tally basics. I like offices where things are easy to find, and I am the person who notices the calendar clash before it happens.

I can join immediately and would be glad to complete a typing or MS Office test at interview. Thank you for your time.

Sincerely,
Megan Hall

Dear Hiring Manager,

I would like to apply for the Administrative Assistant role supporting your operations team at Coastal Resorts. For four years I have kept a busy hospitality office running in Panaji, supporting three managers and a team of 25.

At Mandovi Hospitality Services I manage the calendars of three managers and schedule more than 40 meetings a month, handle 20 vendors from quotation to purchase order, and keep contracts, invoices and staff records filed so an auditor can find anything in minutes. A monthly review of stationery and supply orders that I introduced has cut those costs by 12%.

Earlier, at Fontainhas Travel Desk, I booked travel for about 60 customers a month and maintained a customer database of 1,200 records. That job taught me to double-check dates and names, because a wrong ticket is expensive to fix, and to confirm every booking with the customer in writing before paying for it.

I would bring the same organised, discreet support to your team. My notice period is 30 days, and I am happy to meet at your convenience.

Sincerely,
Brandon Scott

Copy either letter, then change every detail to your own: the company, the job title, your numbers. Pair it with a matching administrative assistant resume and the skills administrative assistant job adverts ask for. The layout, header and greeting are the same for every job: see how to write a cover letter.

How to open the letter

Name the job, where you saw it and your strongest fact in the first two lines. Two openings that work:

  • I support three managers and 25 staff as an administrative assistant in Panaji, and I am applying for your Administrative Assistant opening.
  • As a B.Com graduate who filed 800 client documents and scheduled 30 meetings a week during an office internship, I would like to be considered for your Administrative Assistant role.

What to write in the body

One or two paragraphs that prove you can do the job the advert describes. For an administrative assistant, the body should also:

  • Give one saving or improvement: a cost cut, a filing system, a faster process.
  • Name your tools (MS Office, Google Workspace, Tally) and your typing speed if the advert asks.

How to close the letter

Close with your availability and an offer to take the office-skills test that many employers use, and keep the tone polite and precise. For admin roles, a letter with no typos and a clean layout is itself evidence.

Writing it with no experience

  • Use internships, college office work, event organising or a family business where you handled documents, schedules or payments.
  • List your computer certificates (CCC, MS Office) and your typing speed as numbers.
  • Say you are comfortable with routine work that has to be done exactly right, and ready to learn the office's systems.

Mistakes to avoid

  • Typos or a messy layout; this letter is a sample of your written work.
  • Listing duties ("handled calls, filing") with no scale or result.
  • Addressing the letter "To whom it may concern" when the manager's name is in the advert.

FAQ

Your questions, answered.

Still unsure? Send us a message — a real person replies.

What should an administrative assistant cover letter include?

Who you support, what you manage (calendars, travel, vendors, records), one improvement you made, your tools and typing speed, and your notice period.

How do I write an administrative assistant cover letter with no experience?

Use internships, college office or event work, list your computer certificates and typing speed, and show you are organised and accurate.

Can I send an admin assistant cover letter by email?

Yes. Put the letter in the email body, attach your resume as a PDF, and use a clear subject line with the job title and your name.

Is an office assistant cover letter different?

Office assistant jobs are usually more junior. Stress filing, reception and errands; administrative assistant letters add scheduling, vendor and records work.
