Dear Hiring Manager,

I am applying for the Junior Executive Assistant role supporting your Director of Operations at Kovalam Heritage Hotels, which I saw on LinkedIn. I completed my BBA at Mahatma Gandhi University this year with a CGPA of 8.4.

For four months I interned in the general manager's office at Backwater Stays in Kochi. I managed his diary of 15 to 20 meetings a week, typed and circulated minutes within 24 hours for more than 30 meetings, and booked 25 domestic trips without a missed connection or wrong date. The best feedback I received was that he stopped checking his own calendar by my second month.

I am fluent in Outlook, Word, PowerPoint and Excel, and completed NPTEL's Business Communication course. I understand that an assistant sees confidential information every day, and I treat it that way: nothing leaves the office, and nothing is discussed outside it.

I can join immediately and would welcome the chance to meet you.

Sincerely,
Finn Nolan

Dear Hiring Manager,

I would like to apply for the Executive Assistant to the CEO role at Aravali Engineering Group. For four years I have supported senior leaders in manufacturing and logistics, and I currently assist the Managing Director of Sarthi Auto Components in Gurugram.

I run a calendar of more than 60 external meetings a month across plants in three states. Each month I compile a 25-slide review pack from seven department heads, chasing inputs a week early so the MD reads it the evening before, not in the meeting. I have arranged over 40 domestic and six international trips, including visas, all within the approved travel budget.

Before this I was personal assistant to a director at Orbit Logistics in Noida, handling his email, calls and board-meeting logistics. Both roles taught me to protect my principal's time: to decide which meetings need him, which need someone else, and which need no meeting at all.

I would bring the same discretion and anticipation to your CEO's office. My notice period is 30 days.

Sincerely,
Teodoro Valdivia

Copy either letter, then change every detail to your own: the company, the job title, your numbers. Pair it with a matching executive assistant resume. The layout, header and greeting are the same for every job: see how to write a cover letter.

How to open the letter

Name the job, where you saw it and your strongest fact in the first two lines. Two openings that work:

  • I run a managing director's calendar of 60+ external meetings a month and prepare his monthly review pack from seven department heads; I am applying for your Executive Assistant to the CEO role.
  • As a BBA graduate who managed a general manager's diary and minutes during a four-month internship, I would like to apply for your Junior Executive Assistant role.

What to write in the body

One or two paragraphs that prove you can do the job the advert describes. For an executive assistant, the body should also:

  • Give scale: meetings a month, trips arranged, packs prepared, people you coordinate.
  • Show judgement: how you protect time, handle confidential material and anticipate needs.

How to close the letter

Close with your notice period and a note that you can share references from the leaders you have supported. A crisp, well-formatted letter is itself evidence for this role.

Writing it with no experience

  • Use an internship in a senior leader's office, college events you coordinated, or admin roles.
  • Show software skill: Outlook, PowerPoint, Excel, Teams or Zoom scheduling.
  • Emphasise discretion and organisation with a concrete example.

Mistakes to avoid

  • A letter that reads like an admin assistant letter; EAs support one senior leader closely.
  • Any typo or formatting slip.
  • Revealing confidential details about your current principal.

FAQ

Your questions, answered.

Still unsure? Send us a message — a real person replies.

What should an executive assistant cover letter include?

Who you support, what you own (calendar, travel, board packs), the scale, one example of judgement or anticipation, your tools, and your notice period.

How do I write an executive assistant cover letter with no experience?

Use an internship or event coordination, show your office software skills, give one example of discretion and organisation, and apply for junior EA roles.

How is an EA different from an administrative assistant?

An EA supports one senior leader and handles their priorities, correspondence and confidential work; an admin assistant supports a team or office.

Should I mention the name of the executive I support?

Give the title and company, not personal details, unless the person has agreed to be a reference.
