Dear Hiring Manager,

I am applying for the Junior Project Manager position at Charminar Logistics Tech, which I saw on LinkedIn. I completed my MBA in Operations at Osmania University this year, after a B.Tech in Mechanical Engineering, and my summer project was a real project with a real deadline.

At Deccan Fulfilment Services I built a 40-task plan in MS Project for re-laying out a working warehouse without stopping dispatch. I ran weekly progress reviews with the three teams involved, kept a simple risk list, and moved the racking work to two weekends when the plan showed it would clash with a sale. The re-layout finished four days ahead of plan.

I understand Agile and Waterfall basics, use Jira and Excel dashboards, and I am preparing for the CAPM. I like being the person who knows exactly where the project stands.

I can join immediately and would welcome the chance to discuss the role.

Sincerely,
Taylor Nguyen

Dear Hiring Manager,

I would like to apply for the Senior Project Manager role in your BFSI delivery unit. For five years I have delivered web and mobile projects for banking clients, and at Northwind Tech Services I run three parallel projects of ₹1.5 crore to ₹4 crore with teams of 8 to 14.

Nine of my last 11 projects went live on schedule and the other two within ten days. When defects kept reaching the client after release, I added a sprint-end demo with the client's product owner; defect leakage fell by 30% because problems were caught while the team still had the context. I own budgets, change control and the weekly client report.

Before this I was an assistant project manager at Lumen Software, where I learnt estimation and vendor management on smaller fixed-price projects.

Your advert asks for someone to take over a delayed mobile banking programme, and I have recovered a slipping project before. My notice period is 60 days.

Sincerely,
Natalie Brooks

Copy either letter, then change every detail to your own: the company, the job title, your numbers. Pair it with a matching project manager resume. The layout, header and greeting are the same for every job: see how to write a cover letter.

How to open the letter

Name the job, where you saw it and your strongest fact in the first two lines. Two openings that work:

  • I have delivered 9 of 11 banking web and mobile projects on schedule and cut defect leakage by 30%; I am applying for your Senior Project Manager role.
  • As an MBA (Operations) graduate whose 40-task warehouse re-layout finished four days early, I would like to apply for your Junior Project Manager position.

What to write in the body

One or two paragraphs that prove you can do the job the advert describes. For a project manager, the body should also:

  • Show on-time and on-budget results, and one recovery or quality improvement.
  • Name methods and tools: Agile, Scrum, Waterfall, Jira, MS Project, Primavera.

How to close the letter

Close by linking your projects to their domain, giving your notice period, and offering to walk through one project from plan to go-live.

Writing it with no experience

  • Use an MBA live project, internship or college event with a plan, a deadline and a result.
  • Show tools and a risk list or tracker you kept.
  • Mention CAPM preparation.

Mistakes to avoid

  • No budget, team or schedule numbers.
  • Only listing methodologies.
  • Taking sole credit for a team's delivery.
