What the official job profile lists for an administrative assistant
O*NET, the US Labor Department's job database, groups this role under secretaries and administrative assistants (other than legal, medical and executive). Its task list starts at the front of the office: answer phones, take messages, greet visitors and direct their questions. It then covers the back office: keep paper and electronic files, enter data into databases, schedule and confirm appointments, type and send meeting notes, order supplies and arrange travel. Some roles add payroll, deposits and balancing accounts. The top skills it lists are active listening, speaking, reading comprehension, writing, monitoring and critical thinking. Its in-demand technology is Microsoft Office, Microsoft Teams and Google Workspace, and it also names accounting tools such as QuickBooks and SAP Concur, video calls on Zoom or Webex, and document tools such as SharePoint and Adobe Acrobat.
The Bureau of Labor Statistics adds four important qualities: decision-making (judging which task comes first), interpersonal skills, organisational skills and writing. It says high school graduates who are comfortable with word processing and spreadsheets typically qualify for entry-level jobs, and that most learn the duties in several weeks of on-the-job training. That makes your software and your evidence of accuracy the main things a recruiter can compare.
The example bullets below are illustrative: every figure is made up. Use your own numbers.
Office management skills for an administrative assistant resume
- Calendar and meeting scheduling: O*NET lists scheduling and confirming appointments and keeping event calendars among this job's tasks. Say whose diaries you ran, how many meetings a month you booked and how often clashes happened. Example: Scheduled 40+ meetings a month for 3 managers with no double bookings in a year.
- Travel management: Arranging travel, conference and meeting bookings is on O*NET's task list. Give the volume and a cost or change-fee figure, since that is the part an office manager watches. Example: Booked travel for about 60 customers a month with 1 change fee in 12 months.
- Filing and records management: O*NET lists managing paper or electronic filing systems, and BLS names maintaining databases and filing systems as a core duty. Show how quickly someone can find a file because of your system. Example: Filed and indexed 800 client documents into a system that cut search time to under 2 minutes.
- Vendor coordination and purchase orders: Ordering supplies is one of O*NET's listed tasks for this role. Give the number of suppliers and any saving, because a recruiter reads this line as cost control rather than errands. Example: Handled 20 vendors and cut stationery and supply costs by 12% with a monthly order review.
- Expense claim processing: Some admin jobs handle money: O*NET lists payroll work, collecting deposits and balancing accounts, and BLS lists basic bookkeeping. Give the number of claims and your turnaround time. Example: Processed 150 staff expense claims a month, each within 5 working days.
- Minutes of meetings: Composing, typing and sending out meeting notes is an O*NET task for this job. State how many meetings you covered and how soon the minutes went out, since a late record is little use. Example: Wrote minutes for 8 management meetings a month, circulated within 24 hours.
Software skills for an administrative assistant resume
- MS Word, Excel and PowerPoint: Microsoft Office tops O*NET's in-demand technology list here, and BLS says graduates comfortable with word processing and spreadsheets usually qualify. Describe a file you built, not only the program names. Example: Built an Excel visitor log that replaced a paper register and tracked 1,200 visits a quarter.
- Google Workspace: O*NET lists Google Workspace among the in-demand tools, next to Microsoft Teams. Offices tend to run on one or the other, so say which you set up or ran, and for how many people. Example: Set up shared Drive folders and calendars for a 25-person team in 1 week.
- Typing 40+ wpm (English and Hindi): Letters, notes and database entries all depend on fast, accurate keying. Quote a speed and accuracy from a test you can repeat at interview, and list a second language only if the job uses it. Example: Typed 50+ letters and emails in 3 months at 45 wpm with a 98% accuracy score.
- Tally or Zoho Books basics: O*NET names accounting software such as QuickBooks and SAP Concur for this job. Write the package you actually used and the entries you made, so the accounts team knows what it can hand you. Example: Entered 200 petty cash and expense vouchers a month in Tally for the accounts team.
Communication skills for an administrative assistant resume
- Email and letter drafting: Writing is one of O*NET's top skills for this job, and BLS lists writing skills among the important qualities, meaning good grammar and a professional tone. Show how little editing your drafts needed. Example: Drafted 50+ client letters and emails that went out with one review by the manager.
- Reception and phone handling: Answering calls, taking messages and greeting visitors come first on O*NET's task list. Give your daily call volume and how often callers reached the right person the first time. Example: Handled 60 calls a day at reception and routed 95% to the right person first time.
Soft skills for an administrative assistant resume
- Organisation: BLS names organisational skills, keeping files, folders and schedules in order, as an important quality. Prove it with something another person checked, such as an audit or a clean handover. Example: Kept 3 managers' diaries, 20 vendor files and staff records audit-ready through 2 audits.
- Discretion: Admin staff often see pay, personnel and client papers. Show trust through what you were given access to and a clean record over the years, rather than calling yourself discreet. Example: Handled salary and HR files for 25 staff with no confidentiality issues in 4 years.
Which administrative assistant skills to lead with, by experience
Entry level: Lead with the software you can use today (Word, Excel, Outlook or Google Workspace), a tested typing speed and clear written English. Then add front-desk proof: calls answered, visitors handled, files kept. Training in this job is short, so an office manager is looking for someone careful and easy to work with. One number per skill, even from a college office or a part-time job, shows that.
Experienced: Lead with what you run, not what you help with: the managers whose diaries you hold, the supplier list, the expense process, the filing system. Then show judgment: priorities you set when requests clashed, procedures you wrote, people you trained on new tools. O*NET lists setting up work procedures and supervising clerical staff for this job, and those are the skills that move you toward office manager or executive assistant.
Certifications for an administrative assistant resume
- Course on Computer Concepts (CCC), NIELIT · often asked for in India.
- Microsoft Office Specialist (MOS) or an MS Office course · name the provider and year.
- Diploma in Office Management or Secretarial Practice.
What to leave off an administrative assistant resume
- "Proficient in MS Office" on its own. Every applicant writes it; name the tracker you built in Excel or the template you made in Word.
- Office machines nobody asks about any more, such as fax and photocopier, unless the advert names them. The line takes space a scheduling or records result could use.
- Private details from the work you supported. A bullet about pay or HR files should give counts, never names or figures from those files.
- "Multitasking" as a skill. Show it with numbers instead: calls handled while three diaries and the supplier orders stayed on time.

What skills should an administrative assistant put on a resume?
Start with Microsoft Office or Google Workspace, calendar and travel management, filing and records, supplier orders and expense claims. Add typing speed and written English, then two soft skills with proof. O*NET's in-demand tools for this job are Microsoft Office, Microsoft Teams and Google Workspace, so name the ones you use and what you did with them.
What are the key soft skills for admin assistants?
Organisation, judgment about what comes first, discretion, follow-up and staying calm when interrupted. BLS lists decision-making, interpersonal, organisational and writing skills as the important qualities for this job. Tie each one to a fact, such as two audits passed or a diary with no double bookings in a year.
Should I write my typing speed on my resume?
Yes, for most admin roles. Give words per minute and accuracy from a test you can repeat, for example "45 wpm, 98% accuracy", and add a second language only if the job uses it. A tested number reads better than "fast typist", and some employers will check it.
What is the difference between admin assistant and executive assistant skills?
Executive assistants work closely with one senior leader and add board papers, confidential letters and managing that person's priorities. Admin assistants support a team or a whole office. O*NET keeps executive assistants out of the general administrative assistant profile, so match your skills to the title in the advert.
Do you need a degree to be an administrative assistant?
Usually not. BLS says high school graduates who are comfortable with word processing and spreadsheet programs typically qualify for entry-level jobs, and that workers learn most duties through several weeks of on-the-job training. Some community colleges offer secretarial courses, but a bachelor's degree is not required.
What skills does an entry level administrative assistant need?
Microsoft Office (Word, Excel and Outlook), typing speed, scheduling, phone and email manners, and careful filing. List these administrative assistant resume skills in the advert's words, and prove one or two with an example from a part-time job, an internship or a college office.
