What the official job profile lists for a customer service
O*NET, the US Labor Department's job database, ranks active listening, speaking, reading comprehension, critical thinking and service orientation as the top skills for customer service representatives. Its core tasks are practical: answering customers by phone or in person, recording each contact, checking that a problem was actually fixed, working out charges or arranging billing, and processing account changes. The technology employers ask for most is Microsoft Office (Excel and Outlook especially), Salesforce and other customer relationship management software.
The Bureau of Labor Statistics adds the qualities it sees as important: communication, customer service, interpersonal and listening skills, patience and problem-solving. Most of these roles need a high school diploma and a few weeks of on-the-job training, so your skills section and your numbers carry more weight than your education.
The example bullets below are illustrative: every figure is made up. Use your own numbers.
Service skills for a customer service resume
- Complaint handling and escalation: Taking a problem from first contact to a fix, and knowing when it needs a supervisor or another team. Recruiters look for how many cases you closed and how fast. Example: Handled 15 warranty claims a month with 3 brands' service centres and closed each within 10 days.
- Refund and order processing: O*NET lists collecting payments, arranging billing and completing account changes among the core tasks. Name the systems and the volume you handled. Example: Processed 40 refunds a day and cut repeat refund contacts by 18% with an FAQ.
- First-contact resolution: Solving the problem in the first call, chat or email so the customer never has to come back. It is one of the most common quality numbers on a support team, so give your rate if you have it. Example: Kept first-contact resolution at 88% across 90+ daily chats and emails.
- Customer satisfaction (CSAT): The score customers give after a contact. Quote your score, the period and the channel, because a 90% on email and a 90% on voice are read differently. Example: Held a 92% CSAT score for 12 months on an e-commerce support team.
- Walk-in and WhatsApp support: Shops, clinics and small businesses serve customers in person and on messaging apps. If that is your experience, list the channels by name rather than writing "multi-channel". Example: Answered 40+ customer queries a day in person and on WhatsApp at a retail shop.
- Repeat-customer records: O*NET lists recording customer interactions and checking that problems were actually fixed. A record you built and kept current proves both. Example: Built a register of 300 repeat customers with purchase and warranty dates.
Tools skills for a customer service resume
- Freshdesk or Zendesk: Helpdesk tools turn emails and chats into tickets. Write the exact product the job ad names; if you used a different one, list yours, since the skills carry over. Example: Resolved 2,000+ tickets a month in Freshdesk with 99% correct tagging.
- Salesforce Service Cloud: Salesforce appears in O*NET's in-demand technology list for this job. Say what you did in it: logged calls, updated cases, ran reports. Example: Logged 70 calls a day in Salesforce with complete case notes for audits.
- Typing speed 40+ wpm: Chat and email support depend on it. Give the speed and accuracy from a test you can repeat in an interview, not an estimate. Example: Type 40 wpm with 97% accuracy, keeping chat replies under 60 seconds.
- MS Excel reporting: Excel and the rest of Microsoft Office top O*NET's technology list for this job. A report your team leader used is stronger than "proficient in Excel". Example: Built a weekly Excel report of the top 10 contact reasons for the team leader.
Soft skills for a customer service resume
- Active listening: O*NET ranks active listening as the most important skill for customer service representatives. Show it through a result such as calls solved the first time, not the phrase alone. Example: Resolved 88% of calls first time by restating the issue before answering.
- Staying calm with upset customers: BLS names patience as an important quality, because many calls start with a frustrated customer. Contacts calmed without a transfer are the usual proof. Example: De-escalated 20 angry calls a week without supervisor transfers.
- Training new agents: Coaching new joiners is the usual step toward team leader. Say how many people you trained and how they did on quality checks. Example: Trained 12 new agents on tools and tone, all clearing quality checks in their first month.
Which customer service skills to lead with, by experience
Entry level: Lead with communication, typing speed, the languages you speak and any tool you have used, even in a shop or a college job. Training is short in this field, so recruiters hire for attitude and accuracy: show you turned up, stayed calm and got things right, with one small number each.
Experienced: Lead with your quality numbers (CSAT, first-contact resolution, handling time) and the helpdesk or CRM you know well. Then show what you did beyond your own queue: training new agents, writing help articles, spotting the top contact reasons, handling escalations. Those are the skills that move you toward team leader or quality analyst.
Certifications for a customer service resume
- Customer service or communication course · provider and length.
- Spoken English certificate, for English-language processes.
- Zendesk or Freshdesk product certificates, where offered.
What to leave off a customer service resume
- "Good communication skills" with no proof. Every applicant writes it; your CSAT score or calls handled says it better.
- Tools you only watched someone else use. Interviews for support roles often include a typing test or a tool walkthrough.
- Old call-centre jargon the job ad does not use. Match the ad's words ("tickets", "cases", "chats") so both the screening software and the recruiter find them.
- Every soft skill you can think of. Pick the three the ad stresses and prove each one.

FAQ
Customer Service skills questions, answered.
Still unsure? Send us a message — a real person replies.
What customer service skills should I put on a resume?
Start with the ones the job ad names, then cover three areas: service skills (complaint handling, first-contact resolution, refunds and orders), tools (the helpdesk or CRM you used, Excel, typing speed) and soft skills (listening, patience, calm under pressure). O*NET ranks active listening, speaking and reading comprehension highest for this job.
What customer service skills can freshers list?
Communication in each language you speak, typing speed from a real test, basic computer skills and patience. Back them with any customer-facing work, even part-time shop, cafe or event work, and give small numbers: customers served a day, queries answered, complaints sorted.
What is the difference between customer service and customer care skills?
They are largely the same. Customer care often means after-sales and support; customer service covers every contact with customers. Use the wording of the job ad you are applying to.
How do I show soft skills on a customer service resume?
Tie each one to a result. Patience becomes angry calls settled without a transfer; listening becomes your first-contact resolution rate; empathy becomes your CSAT score. A list of adjectives with no numbers is easy to skip.
Do customer service jobs need a degree?
Usually not. BLS says customer service representatives typically need a high school diploma and learn on the job, often in 2 to 4 weeks, with longer training in finance and insurance.
How many customer service skills should I put on a resume?
Put the six to ten the posting names: communication, problem solving, patience, product knowledge, CRM tools and de-escalation. Back each skill with a result, such as tickets handled a day or a satisfaction score, so the list is proof rather than adjectives.
