Dear Hiring Manager,

I am applying for the Recruiter (Talent Acquisition) role at Howrah Talent Partners, which I saw on LinkedIn. I completed my MBA in Human Resources at Calcutta University this year, and I spent my internship doing volume hiring for IT support and back-office roles.

At Eastern Staffing Solutions I screened more than 400 profiles on Naukri, made about 15 screening calls a day and scheduled 60 interviews in two months. I noticed that many candidates dropped out between the call and the interview, so I started sending a short WhatsApp message with the address, time and interviewer's name the evening before; more of them turned up, and the hiring managers noticed.

I write Boolean searches, keep candidate notes in the ATS the same day, and speak Bengali, Hindi and English. I like the pace of recruiting and the moment a good match says yes.

I can join immediately. Thank you for considering my application.

Sincerely,
Emil Hartley

Dear Hiring Manager,

I would like to apply for the Senior Recruiter role on your technology hiring team. For four years I have recruited for IT services in Bengaluru, and at Northwind Tech Services I close eight to ten positions a month across Java, testing and support roles.

When I took over my hiring managers, time-to-fill averaged 34 days. By agreeing a sharp profile with each manager before sourcing and holding interview slots every Tuesday and Thursday, I have brought it to 26 days. My offer-to-join ratio is 82%, which I keep up by calling every selected candidate weekly until they join and by being honest about the role.

I started at Talentbridge Consulting, sourcing about 50 profiles a day, which is where I learnt Boolean search on Naukri and LinkedIn properly.

Your team is hiring for cloud and data roles this year, which is the market I know. My notice period is 30 days.

Sincerely,
Derek Ashworth

Copy either letter, then change every detail to your own: the company, the job title, your numbers. Pair it with a matching recruiter resume. The layout, header and greeting are the same for every job: see how to write a cover letter.

How to open the letter

Name the job, where you saw it and your strongest fact in the first two lines. Two openings that work:

  • I close 8 to 10 IT positions a month and cut time-to-fill from 34 to 26 days with an 82% offer-to-join ratio; I am applying for your Senior Recruiter role.
  • As an MBA (HR) graduate who screened 400+ profiles and scheduled 60 interviews during my internship, I would like to apply for your Recruiter role.

What to write in the body

One or two paragraphs that prove you can do the job the advert describes. For a recruiter, the body should also:

  • Name the roles and markets you hire for: IT, sales, BPO, healthcare, US staffing.
  • Show sourcing tools: Naukri RMS, LinkedIn Recruiter, Boolean search, ATS.

How to close the letter

Close by naming the kinds of roles you would like to hire for at their company and giving your notice period. Recruiters read letters for clarity and tone; yours is a sample of how you will write to candidates.

Writing it with no experience

  • Use your HR internship with profiles screened, calls made and interviews scheduled.
  • Mention Boolean search practice and any ATS you have used.
  • Show a candidate-experience idea you tried.

Mistakes to avoid

  • No closure or time-to-fill numbers.
  • Generic HR language instead of recruiting results.
  • Writing "Dear recruiter" in a letter to a recruiting team, without a name when one is available.
